Position Purpose

The Project Controls Coordinator supports the Design & Construction team by managing the financial and contractual administration of capital projects from the design phase to the closeout phase of a project.

Responsibilities & Tasks

  • Be the financial and administrative support for each assigned project for each phase of the project.

  • Assist and facilitate contract set up, change management, purchase orders, amendments throughout each phase of the project. 

  • Process invoices, check requests, fee related invoices throughout each phase of the project.

  • Process AIA progress payment applications from General Contractors, Prefabrication Contractors and Architects in timely manner according to monthly timelines. 

  • Ensures all backup documentation is correct and valid according to master agreements on each pay application before processing for payment.

  • Communicates with department managers as well as GCs, Architects and accounting individuals to resolve and turn around any invoice & pay application issues in a timely manner.

  • Maintain organized and audit ready digital project files.

  • Support Managers with project closeout documents and final payments.

  • Learns and understands project management software to work efficiently and effectively daily.

  • Assist with coordination of department meetings, visitors, new hire onboarding.

  • Assist with expense reports.

  • Assist with travel arrangements for team

  • This is an in-office position based at our Home Office located in Birmingham, AL 

 

Minimum Qualifications

  • High School and 5 years of experience in construction office setting or College Degree in Finance, Accounting, Business Admin and 2 years of experience in construction office setting.

  • Preferred hands-on experience with AIA G703 & G703 pay applications.

  • Preferred knowledge and handling of contracts, change orders and  purchase orders

 

Skills and Abilities

  • Ability to coordinate, analyze, observe, make decisions and meet deadlines on multiple projects at the same time.

  • The ability to work within a team and assist team members.
